Emails

StitchPress sends its own proof emails through WordPress's mailer, and adds design details to the order emails WooCommerce already sends. It adds no emails to WooCommerce > Settings > Emails in this version.

Emails StitchPress sends

Email To Sent when Format
Proof ready the order's billing email you click Send to customer in the Proof approval box HTML
Proof approved, confirmation the customer the customer approves on the proof page HTML
Changes received, confirmation the customer the customer requests changes on the proof page HTML
Proof approved, notice the shop the customer approves on the proof page plain text
Changes requested, notice the shop the customer requests changes; includes their comment plain text

Details:

  • Shop notices go to the site's admin email address (Settings > General > Administration Email Address).
  • No customer confirmation is sent when you record an approval yourself with Record an approval received elsewhere, and no shop notice either.
  • Proof ready carries your covering note, a summary of what you will produce, the View and approve your proof button and the link written out. Its subject names your shop and the order number.
  • All of these go through wp_mail(). If your host's mail is unreliable, install an SMTP plugin; StitchPress uses whatever WordPress is configured to send with. If sending fails, the Proof approval box says so and you can copy the approval link instead.

Design details in WooCommerce's emails

WooCommerce's own order emails (new order, processing, completed, invoice and so on) list each order line's visible details. For a decorated line, StitchPress adds:

  • one row per placement, describing the zone, size, text or artwork, and colors;
  • Customer note, if the customer left one;
  • Proof requested, if they asked for a proof;
  • Decoration: the method;
  • Decoration total: the line's decoration charge;
  • Production estimate, only if Show the estimate on orders and emails is on (StitchPress settings > What the customer sees). It is off by default.

While a requested proof is not yet approved, customer order emails also show a Production protection block above the order table with four steps: order placed, we prepare your proof, you approve it or ask for changes, production begins. It is not added to emails sent to the shop.

Change the wording

Every email text is translatable (text domain stitchpress), and the subjects and bodies can be changed with filters:

Filter Changes
stp_proof_email_subject, stp_proof_email_body the Proof ready email
stp_proof_confirm_subject, stp_proof_confirm_body the customer confirmations
stp_proof_admin_notification the shop notices (recipient, subject and body)
stp_proof_admin_email where shop notices go
stp_proof_contact the contact line on the proof page
stp_proof_logo the mark at the top of the proof page

See Developers for arguments.

Turn emails off

  • Customer confirmations: return false from stp_proof_confirm_customer.
  • Shop notice on approval: return false from stp_proof_notify_admin_on_approve.
  • Any shop notice: return an array with an empty to from stp_proof_admin_notification.
  • Proof ready only goes out when you click Send to customer, so there is nothing to turn off.

Since 1.0.0 these notices are WooCommerce emails: seven for proofs, new decoration orders and ready orders, plus "Design updated". Each one is listed under WooCommerce > Settings > Emails with its own enable switch, recipient, subject and heading, and its template can be overridden in <your-theme>/stitchpress/emails/. The filters above remain the developer route and still apply.
